| Best for | A startup that wants its handbook, roadmap, and meeting notes in one searchable workspace. | A researcher who wants a decade of notes in files they can open without the app. |
| Weakness | The flexibility is also the trap, because it is easy to spend more time designing a system than using it, and large databases get slow. | The plugin ecosystem is also the risk, since a heavy setup can become fragile, and there is no real-time collaboration. |
The verdict
Notion and Obsidian overlap less than the marketing suggests. Notion exists for a startup that wants its handbook, roadmap, and meeting notes in one searchable workspace. Obsidian exists for a researcher who wants a decade of notes in files they can open without the app. If you are both, you are the rare case where running two tools is cheaper than picking one badly.
Where they both fall down: the flexibility is also the trap, because it is easy to spend more time designing a system than using it, and large databases get slow. and the plugin ecosystem is also the risk, since a heavy setup can become fragile, and there is no real-time collaboration.
