Todoist is outgrown when a team needs shared projects with permissions, or when natural language input stops being enough.
Decide whether this is a personal list or a team system. The two categories barely overlap.

The options, and what each one costs you
- Better if
- A product engineering team of five to twenty that finds Jira too slow to use daily.
- You give up
- It is opinionated about workflow, so teams with unusual processes will fight it, and reporting is thinner than enterprise tools.
- Better if
- An individual on Mac and iPhone who wants a task list with no subscription or team features.
- You give up
- It is Apple-only with no web or Android client, there is no team collaboration at all, and the lack of a subscription means no web service for sharing.
Frequently asked
What is the best alternative to Todoist?
It depends on what you are leaving for. Decide whether this is a personal list or a team system. The two categories barely overlap. Our closest match on features and price is Linear.
Is there a free alternative to Todoist?
Linear is free to start.
How much does switching from Todoist cost?
Migration is usually the expensive part, not the licence: exports rarely preserve permissions, history or automations. Budget a day per active workspace for anything with a database in it.
